What are care policies and procedures?

Every CQC-registered provider needs a complete set of care policies and procedures — the documents that show inspectors, staff and the people you support how your service keeps care safe, lawful and person-centred.

Policy vs procedure

A policy sets out what your service does and why — its position, principles and who is responsible. A procedure is the step-by-step of how it is carried out in practice. CQC-registered providers need both: clear policies and the procedures that put them into action.

Why CQC requires them

Under the Health and Social Care Act 2008 (Regulated Activities) Regulations 2014, providers must have arrangements that meet the fundamental standards. Inspectors look for policies and procedures that are specific to your service, current, and understood by staff — not generic templates lifted from elsewhere.

How often to review them

Care policies and procedures should be reviewed at least annually, and whenever the law, statutory guidance or your own practice changes. Out-of-date documents are a common inspection finding — a clear review date and version history keep you covered.

What good looks like

A good policy is tailored to your setting and the people you support, written in plain British English, version-controlled with a clear approval and review date, and evidenced as read by the staff who rely on it.

Policies shouldn't eat your weekends

Keeping a care service's policies current, specific and inspection-ready is relentless. Most teams do it the hard way:

  • Generic templates that don’t fit your service
  • Hours of editing to make them usable
  • Audit anxiety — are they even compliant?
  • Version chaos across folders and inboxes

From nothing to inspection-ready in three steps
